1. Company Information

1.1 Universal Internships is a trading name of UNIVERSAL PLACEMENTS LIMITED, a company incorporated in Ireland.

2. Definitions

2.1 The Student: the individual person who applies for or uses the services of Universal Internships.


2.2 Universal Internships: the trading name of UNIVERSAL PLACEMENTS LIMITED, acting as a consultant, coordinator, and intermediary between the student and host companies.


2.3 Host Company: any company, organisation, or employer with which Universal Internships has been in contact for the purpose of arranging an internship opportunity for the student.


2.4 Third Parties: external service providers worldwide offering supplementary or independent services in addition to those of Universal Internships, including but not limited to accommodation providers, insurers, visa-related service providers, travel providers, and payment providers.


2.5 Deposit: the initial payment of €400 required to begin the placement process.


2.6 Administrative Fee: the fixed non-refundable portion of the deposit, being €200.


2.7 Suitable Internship: an internship opportunity that reasonably aligns with the student’s chosen field, general preferences, profile, and stated destination requirements, as assessed by Universal Internships in good faith.

3. General

3.1 These Terms & Conditions apply to all services offered by Universal Internships.
3.2 These Terms & Conditions are available on the website and may be saved, printed, or requested by email at any time.
3.3 By submitting a registration form, application, enquiry, or payment, the student confirms that they have read, understood, and accepted these Terms & Conditions.
3.4 Universal Internships and the student agree to work together on the basis of these Terms & Conditions and the pricing communicated by Universal Internships at the time the agreement is entered into.
3.5 Universal Internships is not responsible for any costs incurred by the student through external organisations or third parties, whether or not caused by price increases, delays, or changes in third-party terms.
3.6 Universal Internships is not liable for costs incurred in preparation for the internship, including but not limited to flights, visa costs, insurance, accommodation, medical checks, vaccinations, local registrations, or transport, whether or not an internship has been confirmed.
3.7 Universal Internships is only liable for direct and demonstrable loss suffered by the student where such liability cannot be excluded by law. Indirect loss, loss of profit, reputational loss, business loss, and consequential damages are excluded to the maximum extent permitted by law.
3.8 The total liability of Universal Internships shall not exceed the amount actually paid by the student to Universal Internships for the relevant services.
3.9 The student agrees that communication, invoicing, reminders, and notices may be sent by email. It is the student’s responsibility to ensure that these emails are received and reviewed, including checking spam or junk folders.

4. Procedure and Agreement

4.1 After the student completes a contact form, application form, or otherwise makes contact, Universal Internships may provide information regarding the placement process and the available services.


4.2 The student may be asked to provide application materials including, but not limited to, a CV, personal details, academic information, preferences, and supporting documents.


4.3 All information provided by the student must be complete, truthful, and accurate.


4.4 The student is responsible for updating Universal Internships promptly if any information changes during the process.


4.5 No formal placement process begins until the deposit has been paid in full and Universal Internships has received all documents reasonably required to begin the placement process.

5. Qualification Process

5.1 The qualification process is an internal procedure of Universal Internships and depends on the quality, suitability, and completeness of the registration materials submitted by the student.


5.2 Universal Internships reserves the right to assess whether the student meets the general standards required for placement, based on factors including profile strength, communication, qualifications, availability, and realistic suitability for available opportunities.


5.3 Universal Internships reserves the right to reject, pause, or discontinue an application. where:
• The student does not meet the required standard.
• The documents provided are incomplete or unsuitable.
• The student is not realistically placeable for the selected destination or role
• The student provides false or misleading information.


5.4 Universal Internships may suggest edits, improvements, or formatting changes to the student’s application materials in order to improve the chances of a successful placement.

6. Deposit

6.1 A A deposit of €400 is required to begin the internship placement process.
6.2 The deposit consists of:
•€200 Administrative Fee, which is non-refundable
•€200 conditional refund portion, which may be refunded only in the circumstances described in Section 8

6.3 By paying the deposit, the student confirms that:
• They wish to proceed with the placement process.
• They understand and agree to these Terms & Conditions.
• They authorise Universal Internships to begin screening, preparation, outreach, and coordination work on their behalf.

6.4 The Deposit will be deducted from the total final fee payable by the student.

7. Deadlines and Availability

7.1 Any placement deadline must be agreed between the student and Universal Internships.

7.2 Any agreed deadline begins only when:
• the full Deposit has been received, and
• all required application documents have been received in complete and usable form.

7.3 The agreed deadline relates only to the time available for Universal Internships to work on identifying and coordinating an internship opportunity. It does not include visa processing time, government delays, or other third-party processes.

7.4 The student must remain reasonably available for interviews, correspondence, and follow-up throughout the placement process.

7.5 If the student knows they will be unavailable for any period, they must notify Universal Internships in advance where possible.

8. Refund of Deposit

8.1 The Deposit is only partially refundable.

8.2 If Universal Internships is unable to secure a Suitable Internship within the agreed placement period, the student will be entitled to a refund of €200.

8.3 The €200 Administrative Fee is non-refundable in all circumstances.

8.4 No refund of any part of the Deposit will be issued if:
• the student withdraws from the process
• the student fails to meet eligibility requirements
• the student rejects a Suitable Internship
• the student fails to respond within a reasonable period
• the student repeatedly misses or declines interviews
• the student delays the process unnecessarily
• the student provides false or misleading information
• the student otherwise hinders the placement process.

8.5 Any refund due will normally be processed using the original payment method where possible and within a reasonable timeframe after confirmation of eligibility.

9. Suitable Internship and Acceptance Criteria

9.1 Universal Internships is committed to using reasonable efforts to secure a Suitable Internship for the student.

9.2 A Suitable Internship is an internship that reasonably aligns with the student’s chosen field, general location preference, and profile, taking into account market availability, employer requirements, and realistic placement conditions.

9.3 A Suitable Internship is not made unsuitable merely because:
• it is unpaid or offers lower compensation than expected
• the company is smaller or less well known than preferred
• the work schedule includes evenings or weekends
• the commute is longer than preferred
• the company sector is broader than expected, provided the internship role itself remains relevant
• the student would have preferred a different office environment or team structure.

9.4 If Universal Internships secures a Suitable Internship and the student rejects it, Universal Internships may consider its placement obligation fulfilled for the purposes of the Deposit and fee structure.

10. Final Fee and Payment

10.1 Once an internship has been confirmed in writing by the student and/or the host company, Universal Internships may issue the final invoice for the remaining balance due.

10.2 The final invoice consists of the total agreed service fee minus the Deposit already paid.

10.3 Unless otherwise agreed in writing, the final invoice must be paid within the timeframe stated on the invoice.

10.4 No internship will be finalised or confirmed for start without full payment of the final invoice.

10.5 If payment is not made by the due date, Universal Internships may:
• suspend or cancel the placement process
• delay or withdraw support services
• issue reminders
• charge reasonable administrative costs where lawful
• take recovery action where necessary.

10.6 If the student cancels after accepting or confirming an internship, the full remaining fee may still become due.

11. Cancellation and Termination

11.1 If the student chooses to terminate the placement process early for a reason not specifically covered by these Terms & Conditions, the Deposit will not be refunded except where Universal Internships agrees otherwise in writing.

11.2 Universal Internships expects commitment, professionalism, and reasonable cooperation from the student throughout the process.

11.3 Universal Internships reserves the right to suspend or terminate the agreement if the student:
• fails to respond within a reasonable period
• repeatedly misses interviews
• behaves unprofessionally
• shows poor motivation or cooperation
• provides false information
• disrupts or damages the process.

11.4 In such cases, the Deposit will not be refunded and any outstanding fees may still remain due depending on the stage of the process.

12. Third-Party Services

12.1 Universal Internships may connect the student with Third Parties for services such as accommodation, travel, visa support, or insurance.

12.2 Any agreements entered into with Third Parties are private agreements between the student and the Third Party.

12.3 Universal Internships is not responsible for the services, terms, conduct, pricing, delays, failures, or actions of Third Parties.

12.4 Payments made by the student to Third Parties fall entirely outside the responsibility of Universal Internships.

13. Travel, Visa, and Legal Compliance

13.1 It is the student’s responsibility to obtain and maintain the correct passport, visa, work authorisation, insurance, and any other travel or legal documentation required for participation.

13.2 Universal Internships may provide guidance or general information, but the student remains solely responsible for researching, applying for, paying for, and obtaining the necessary documents.

13.3 Universal Internships cannot guarantee visa approval, visa timing, or the accuracy of third-party or government requirements at all times.

13.4 If the student is unable to start, continue, or complete the internship because of visa refusal, visa delay, missing documents, or legal ineligibility, this remains the student’s responsibility and does not give rise to a refund, except where otherwise stated in these Terms or required by law.

14. Insurance

14.1 The student must hold valid health and travel insurance for the full duration of their travel and internship.

14.2 Universal Internships may provide general guidance or connect the student with insurance-related Third Parties, but Universal Internships is not the insurer and is not responsible for insurance claims, refusals, or coverage issues

15. Relationship with Host Companies

15.1 Universal Internships acts as an intermediary and support service between the student and host company.

15.2 Any internship contract, offer letter, or work arrangement is between the student and the host company, and where applicable the student’s school or university.

15.3 Universal Internships is not responsible for the internal operations, working conditions, management, tasks, hours, compensation, contract terms, or conduct of the host company.

15.4 If issues arise between the student and the host company, Universal Internships may try to assist or mediate where appropriate, but does not assume legal responsibility for the relationship or outcome.

16. Liability

16.1 To the maximum extent permitted by Irish law:
• Universal Internships is not liable for indirect or consequential losses
• Universal Internships is not liable for third-party failures
• Universal Internships is not liable for losses arising from host company decisions, visa refusals, travel disruptions, or third-party conduct.

16.2 The total liability of Universal Internships is limited to the amount actually paid by the student to Universal Internships for the relevant service.

16.3 Nothing in these Terms limits liability where such limitation is unlawful.

17. Intellectual Property

17.1 All website content, branding, templates, documents, and materials belonging to Universal Internships remain its property unless otherwise stated.

17.2 The student may not copy, reproduce, distribute, misuse, or exploit such materials without written permission.

18. Data Protection

18.1 Universal Internships processes personal data in accordance with applicable data protection law, including the GDPR, and in accordance with its Privacy Policy.

18.2 By applying, registering, or making payment, the student acknowledges that personal data may be processed and shared where reasonably necessary for the provision of the services.

19. Amendments

19.1 Universal Internships may update these Terms & Conditions from time to time.

19.2 The latest version will always be published on the website.

20. Governing Law

20.1 These Terms & Conditions are governed by the laws of Ireland.

20.2 Any disputes arising out of or in connection with these Terms & Conditions shall be subject to the jurisdiction of the Irish courts.

21. Acceptance of Terms

21.1 By submitting forms, applying, registering, or making payment, the student confirms that they have read, understood, and agreed to these Terms & Conditions.
